Heartland has an immediate opening for a Centralized Maintenance Specialist located at our Corporate Office in Whitehall, Ohio. The ideal candidate will be the point person for perfecting collateral, processing line of credit draw requests and construction draw requests, hazard and flood insurance monitoring, handles payoff quote and general loan maintenance. Provide assistance across business lines handling new and existing account maintenance, document review, support, creating efficiencies within the operations functions to improve the accuracy and consistency of processing documentation.

A typical day might include the following:

  • Process all maintenance documents generated at account opening through BPM and existing account maintenance received through the following channels: CM shared folder, BPM, On-line Banking or USPS mail received from customer or internal bank departments.
  • Conduct Account Review for New Account Exceptions and Maintenance, verifying complete documentation has been received and ensure accuracy and compliance to minimize exceptions.
  • Develop a thorough understanding of Retail products along with the process front line staff are using in BPM to submit maintenance requests for these products – critical and non-critical that will enable proper updates to be completed on the core system.
  • Assist retail branches and internal departments of the organization with resolving operational issues identified in the maintenance function, providing ongoing feedback to these departments for processing improvements they can make within BPM software to increase accuracy of documents.
  • Input daily maintenance volumes processed into the CM Tracking Excel spreadsheet, update the New Account Exceptions and Maintenance Excel spreadsheet reports each day to provide feedback on maintenance and exception performance for the Retail team to review.
  • Record issues, errors, mis-keyed items received from the Retail team on the Issues tracking log so they can be provided to Retail Administrator. These processing issues will be reviewed at the monthly Retail staff meetings to improve accuracy on the front end of BPM.
  • Provide guidance and serve as point of contact for retail branch associates on Maintenance, Review and documentation related questions.
  • Interact across lines of business to ensure compliance with bank policy and procedure.
  • Rotate operational functions as needed, including maintenance and account review of co-worker’s maintenance changes.
  • Handle the maintenance and review of Rate Exceptions for Money Market and CD products requested from the Retail team, ensuring rate accuracy and duration of the rate for each change.
  • Cross-train and assist with internal Operation department daily processing functions as needed, areas include IRA, Branch Support, and Production.

JOB REQUIREMENTS:

  • Preferred minimum 2 years Banking experience in Retail or Operations divisions.
  • Knowledge of New Account Opening process is a plus.
  • Experience working with Business Process Manager (BPM) software is a plus.
  • Experience working with scanning and indexing is a plus.

ADDITIONAL QUALIFICATIONS:

Microsoft Windows – heavy concentration on Excel, Microsoft Suite including Outlook, Check Scanner, Internet Explorer. Client Central and WC3 software – expediting, pulling and destroying inaccurate cards along with correcting alternate addresses.
